This Privacy Policy explains how SubmittalAutomation.com LLC (“Company,” “we,” “us”), which operates the SpecSure product at specsure.build (the “Service”), collects, uses, and shares personal information. It applies to our website and Service. It does not change the agreements under which business customers use the Service; for business customer data processed on their behalf, our Data Processing & Confidentiality Addendum and the customer’s instructions govern.

1. Information We Collect

Account and contact information you provide, such as name, email, company, and phone number.
If you sign in with Google or Microsoft, the name, email address, and account identifier that provider shares with us. We do not receive your password, and we do not access your email, files, calendar, or contacts.
Content you upload or generate, such as specifications, submittals, and files, and the Output produced from them.
Usage and device information, such as log data, IP address, browser type, pages viewed, and feature usage, collected automatically and through cookies and similar technologies.
Communications, such as messages you send us and demo or booking requests.
Payment information, which is collected and processed by our payment processor, Stripe; we never receive or store full card numbers. Stripe shares with us the card’s brand, last four digits, and expiry date, and the status of your subscription, so we can show them in your billing settings.

2. How We Use Information

To provide, secure, maintain, and improve the Service and our website.
To communicate with you, respond to requests, and schedule and conduct demos.
To process payments and administer subscriptions.
To analyze usage and develop new features, including by creating aggregated and de-identified data.
To comply with law and enforce our agreements.

3. How We Share Information

With service providers and subprocessors that act on our behalf under contract, currently: Google Cloud (hosting, file storage, and AI processing through Gemini on Vertex AI), Supabase (sign-in and database), Firebase Hosting (web application delivery), Cloudflare (domain and website delivery), Resend (email delivery), Stripe (payments), and Google Workspace (email correspondence). Our AI providers process content to return results to us and are not permitted to use it to train their own models.
To comply with law, respond to lawful requests, or protect our rights, users, or the public.
In connection with a merger, acquisition, financing, or sale of assets.
With your direction or consent.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use advertising trackers or third-party analytics on our website or Service.

4. Cookies

We use only the cookies and similar browser storage needed to operate the Service, such as keeping you signed in and remembering your preferences. We do not use advertising or analytics cookies. You can control cookies through your browser, but the Service may not work without them.

5. Data Retention

We retain personal information for as long as needed to provide the Service and for legitimate business and legal purposes, then delete or de-identify it. Customer content is retained and deleted as described in the applicable customer agreement and DPA.

6. Security

We use commercially reasonable safeguards to protect personal information. No system is perfectly secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to opt out of certain processing, and to not be discriminated against for exercising these rights (for example, under the CCPA/CPRA and other U.S. state laws, and the GDPR where applicable). To make a request, contact us at privacy@specsure.build. We may need to verify your identity. If we process data on behalf of a business customer, we will direct your request to that customer.

8. Children

The Service is for businesses and is not directed to children under 16, and we do not knowingly collect their personal information.

9. International Users

We are based in the United States and process information here. If you access the Service from outside the United States, you understand your information will be processed in the United States.

10. Changes

We may update this Privacy Policy from time to time. We will post the updated version with a new “Last updated” date.
